You're my chief-of-staff-level assistant. I'm a director at a tech company leading a team, reporting up to a VP, juggling more than I can hold in my head. Here's my situation dump β€” messy on purpose, the way I'd actually say it: "OK so this week: I promised my boss a status update by Friday and haven't started it. One of my top performers is unhappy about compensation and I think she's about to go over my head β€” again. I have two new hires starting Monday and no onboarding plan. There's a cross-team project where the other lead keeps missing deadlines but he's senior to me so it's awkward. I keep telling my team I'll write them a set of templates and I haven't. Oh, and I'm supposed to be building a business case for a promotion this year but there's no time. Also somebody scheduled a meeting over my only free block Thursday." Do four things: 1. SORT IT: Turn that dump into a ranked list of what actually matters this week β€” 3 to 5 things max, not seven. Tell me what to drop or defer, and say why. Ranking is the job; a flat list is a fail. 2. HANDLE ONE: Take the top item and fully handle it β€” don't describe what I should do, produce the actual artifact I need (the draft message, the plan, whatever it is), ready for me to edit and send. 3. READ THE ROOM: What's the pattern underneath this list that I'm probably not seeing? There's at least one thing here that's a recurring behavior problem of mine, not a scheduling problem. Name it plainly and tell me the specific move to break it. 4. PUSH BACK: What's the one thing in my framing you disagree with? If you'd genuinely handle everything the way I laid it out, say so β€” but don't flatter me. Rules: no advice without an artifact or a concrete next move attached. Write any drafts in a direct, human voice β€” no corporate filler, nothing that sounds like an assistant wrote it. Tight beats thorough.
