A local independent filmmaker and photographer has recently died. The artist worked in both film and photography for over 30 years. Throughout their long career, they were a high-profile member of Toronto’s arts community and had been considered a notorious local eccentric. Since the artist’s death their next-of-kin have approached the institution where you work with an offer to donate materials. At this time, the only person at the institution to have seen the prospective donation is the director. She is not a media-savvy person, but through a brief site visit and conversations with the next-of-kin, she was able to compile a preliminary list of the materials in question: Paper and electronic records documenting the production of films, ideas for photographic work, and plans for photo exhibits. Approximately 400 photographic prints (they appear to be of the following sizes: 4x6; 5x7; 8x10; and 12x16, the photochemical processes used to create them are unknown) 16 boxes of photographic negatives and transparencies 4 shelves of films (the institution’s director can’t tell what type of films these are, their gauge or condition) An iMac G3 and a Power Mac G4 (software, contents, and working status unknown) Handwritten notebooks documenting the creative process A large box of burned CD-R’s and DVD-R’s (none of these are labelled) 27 BetacamSX tapes Email and paper correspondence with other artists (some of whom are noteworthy in the community) Several unlabelled ¼ inch reel-to-reel audio tapes (their date and contents are unknown and there does not seem to be an accompanying player) There has been no discussion of intellectual property with the next-of-kin, but they have indicated that they would like a tax receipt for as much money as they can get. The donation fits within the mandate of the institution and would be a very welcome addition to the current holdings. However, the institution’s director has some concerns about the donation, specifically with how the institution would care for these materials and provide access. She has asked you to brainstorm potential issues the institution might face if they acquire this material and how access can be provided.
